How pilot car pay works

Pilot car pay depends on the agreement for the run. Common billing structures include a loaded-mile rate, day rate, or mini-run minimum, with separately agreed deadhead, waiting, lodging, tolls, or FSC. The amount invoiced is gross revenue, not take-home pay: operating costs and unpaid time still matter.

Compare the whole job

A high loaded-mile rate can still leave little room if repositioning takes most of the day. Record total operating miles and expenses. Ask whether the quoted amount covers waiting and overnight costs before comparing jobs.

Separate the quote from the cost review

The rate calculator shows miles × rate plus agreed extras. It does not know your costs or the local market. Use your own job history and a cost budget to decide what you can accept.

Agree on payment terms

Confirm the payer, billing address, required documents, and due terms before starting. Submit the invoice with the trip sheet and track whether the bill is open or paid. Keep follow-up factual and tied to the load reference.

Keep 64 additional deadhead miles in the cost record if they were not authorized for billing. Attach the trip sheet, required acceptance/signature record, and receipts.
