Build a pilot car quote from separate billable services such as loaded miles, deadhead, a day rate, mini-run minimum, detention, high-pole work, lodging, tolls, or other approved charges. Add percentage FSC to the subtotal, then compare the customer quote with estimated fuel, operating costs, and job time.
Price the whole job
Add every agreed billable using its actual unit, quantity, and rate. Then enter total operating miles—including unbilled repositioning—along with MPG, fuel price, other job costs, and estimated hours. The result shows the customer quote and an estimated remainder before tax and overhead.
Keep the quote and actual bill distinct
After the run, replace estimated quantities and costs with verified values. Check the trip sheet and approval notes before preparing the invoice. The calculator does not recommend market rates or guarantee profit.
