Please read this Privacy Policy carefully. If you do not agree with the terms of this Privacy Policy, please do not access the site or use our services.

2. Information We Collect

We may collect several types of information from and about users of our website, including:

  • Personal Information: Name, email address, telephone number, postal address, billing information, and any other information you voluntarily provide to us.
  • Business Information: Company name, services offered, service areas, certifications, insurance information, and other details related to pilot car services.
  • Account Information: Username, password, and other security information used for authentication and account access.
  • Company Data: Information related to company operations, trip reports, driver records, vehicle information, and operational data.
  • Usage Data: Information about how you use our website, including IP address, browser type, device information, pages visited, time spent on pages, and other analytics data.
  • Location Data: Geographic location information if you enable location services or provide location information when using our route planning features.

3. How We Collect Information

We collect information through various methods, including:

  • Direct Interactions: Information you provide when creating an account, purchasing services, submitting forms, or communicating with us.
  • Automated Technologies: As you navigate through our site, we may use cookies, web beacons, and other tracking technologies to collect usage data.
  • Third Parties: We may receive information about you from third-party service providers, such as payment processors or analytics providers.

4. How We Use Your Information

We may use the information we collect for various purposes, including to:

  • Provide, maintain, and improve our dispatch management platform and services
  • Process transactions and manage your account
  • Process online invoice payments through Stripe Connect, including collection of the flat 5% payment fee that includes card processing. PCP covers Stripe processing costs from this fee and keeps the remainder. When passed to the client, the fee is shown as a separate Checkout line item labeled "Platform Processing Fee".
  • Verify ownership of registration email addresses and resume company setup after verification
  • Facilitate dispatch operations, trip reporting, and driver management
  • Respond to your inquiries and provide customer support
  • Send you technical notices, updates, security alerts, and administrative messages
  • Communicate with you about platform updates, new features, and service improvements
  • Monitor and analyze trends, usage, and activities in connection with our platform
  • Detect, prevent, and address technical issues, fraud, or illegal activity
  • Comply with legal obligations and regulatory requirements

5. Disclosure of Your Information

We may disclose your personal information in the following circumstances:

  • Service Providers: We may share your information with third-party vendors who provide services on our behalf, such as payment processing (including Stripe Connect and Stripe Checkout), data analysis, email delivery, hosting, and customer service. For online invoice payments, payment amounts and fee metadata (invoice total, the 5% payment fee including card processing, and charge total) are processed by Stripe so the connected company can be paid and the payment fee can be collected. We also exchange connected-account identifiers, onboarding and capability status, payment identifiers, and payment outcomes to reconcile invoices and prevent duplicate payments. Stripe collects card or bank details through its hosted payment flows and collects the identity and business information required for connected-account verification. PCP does not store full card numbers or bank account credentials in its invoice records. Stripe processes that information under its own privacy policy (https://stripe.com/privacy).
  • Business Transfers: If we are involved in a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities.

We do not sell, rent, or trade your personal information to third parties for their marketing purposes. Your dispatch operations data and internal business information remain confidential.

6. Dispatch Data Privacy

As a dispatch management platform, we handle sensitive operational data including driver information, trip reports, vehicle details, and dispatch operations. We treat this information with the highest level of confidentiality and security.

Driver Privacy: Driver personal information, contact details, and employment records are kept confidential and only accessible to authorized company personnel. We share it with authorized company personnel and service providers where necessary to operate the platform, as described above.

Operational Data: Dispatch details, route information, and trip reports are stored securely and used solely for business operations. This information helps improve service delivery and operational efficiency while maintaining client confidentiality.

Client Information: Client details and shipment information are protected and only shared with the specific pilot car company assigned to the dispatch, ensuring privacy and security for all parties involved.
